The firm works with clients around the world, focusing selectively and strategically on the key financial centers: Toronto, Montreal, Calgary, Vancouver, New York, London, Singapore and Tokyo. www.td.com Department Overview TBM Shared Services New York, primary responsibilities of the incumbent will be to manage Global Markets Front Office Employee Change in the US region as well as to provide support to the US Region Head of TBM. Job Description Act as specialist in the execution of Global Markets Front Office Employee Change as well as other Shared Services and to be able to comfortably and effectively communicate with a wide range of audiences within TBM, the Front Office, Business Heads, and Senior Executives. Accountable to ensure efficiency and completeness of execution of individual employee on/off-boarding and employee change management for TD Securities' Global Markets division in the US region Responsible to facilitate the timely onboard/termination of Front Office employees and related application accesses through communicating with other internal service groups to facilitate all requirements and related follow-up. Manage all ad hoc access requests (system and LAN) and access issues for the Front Office. Manage the execution and follow up with HR on Associate rotational program/interns/co-ops. Manage SLA and escalation to all support and provisioning teams that are decentralized globally. Requirements Provide general management and administrative support to the US Region Head of TBM. US CRC Support and Monthly Report Production - Prepare all documentation, liaise with appropriate stakeholders and complete any follow-up required for meeting materials. US Region Supervision Monthly Vice Chair Reporting and Tracking- Prepare all documentation, liaise with appropriate stakeholders and complete any follow-up required for meeting material. US Region Strategic Business Plan- Assist in reviewing and updating the US Regional SBP on an annual basis and coordinating with TDGUS for timing and sign-off. New York Oversight Committee TBM Reporting- Provide the Committee with the TBM materials on a monthly basis. US Mandatory Vacation Committees Support- Deliver annual analysis and summary of the Mandatory Vacation exceptions of all US based employees considered in Sensitive roles. US Front Offices Premises Management- Manage FO Seating moves by liaising with Desk Heads and IT Facilities to ensure seamless employee experience. Other General Requirements: Respond to stakeholder requests, escalating identified issues with recommendations for further management action where required. Develop and maintain strong relationships with our Front Office partners as well as with independent support and control groups to facilitate the achievement of Front Office objectives. May participate in projects and provide input to policy and project development enhancements. Track key performance indicators to ensure that team targets are being met. Create and take ownership of existing and new business management reporting, including presentations and dashboards to be shared with senior management. Undertake information gathering, research and analysis of data to provide relevant advice and information. Provide management with analysis of issue drivers, root causes, and provide recommendations for process improvement. Within area of accountability, identify and investigates standard and nonstandard issues. Ensure ongoing communication with the team regarding status and progress of tasks and activities. Participate fully as a member of the broader TBM team and contribute to a positive work environment. Develop own professional expertise through on-the-job training and observation. Provide assistance to the business and TBM management team as required. Qualifications Knowledge and understanding of business processes, products and procedures across Global Markets. Proficient with MS Office Suite; the ability to create pivot tables, develop macros, create Access databases and write/edit code in VBA would be considered a strong asset. Excellent analytical, verbal and written communication skills. Strong customer service orientation and a professional approach; ability to confidently interact with all levels within the organization. Extremely strong attention to detail and a strong sense of pride in work. Ability to work independently and across lines of businesses in a professional manner with minimal oversight. Flexibility to adapt to changing ad-hoc requirements within short timeframes. Must be self-motivated, energetic, results-oriented, and be committed to adding value to the organization. Must possess strong organizational skills and the ability to manage a range of tasks and issues simultaneously to a positive outcome and in a timely manner.
