Working Relationships and Role The Program Associate (PA) forthe Voice, Creativity and Culture (VCC) focus area reports to VCC'stwo Program Directors, with access to the Vice President ofPrograms who leads the program team. The PA works as part of a teamimplementing program goals and strategies to amplify the voices ofstorytellers, faith leaders, journalists and activists and will bea key member of the team in providing assistance to the Directorsthrough a variety ofresponsibilitiesrelated to theoperational and administrative support, research, analysis, andcoordination of programmatic activities. The PA will also haveinteractions with other departments in support of the Foundation'sgrantmaking and programming. The successful candidate will be a trusted partner capable ofdealing with a variety of responsibilities in maintaining effectiverelationships with people at all levels on behalf of the programteam. She/he/they will be thoughtful, highly motivated, energetic,collaborative, and congenial, with well-developed communication andorganizational skills.The work is detail-oriented andrequires flexibility, patience, good humor, anddiscretion.Perhaps most importantly, the PA must maintain apositive \"can do\" attitude to deal with the norm as well as theunexpected. The ideal candidate will feel challenged and excited totake on small and large tasks essential to the Foundation's successand she/he/they individual growth. Principal Responsibilities Include: General Administrative Serve as point of contact for calls, emails, visitors andgeneral information resource for the teamProvide daily operational, administrative support to includeexpense reports, travel, drafting, proofreading and editingcorrespondence and coordinating administrative functions with peerassociates to ensure sufficient coverage of program team tasks andassignmentsManage workflow and logistics for VCC team meetings andretreats, event planning and coordinating essentials, developagendas, create meeting materials, document learning from internaland external meetings, and manage details to ensure projects arecompleted on time.Perform other duties or special projects such as those that maycut across other Foundation departments including set up andcleanup of foundation-wide events and meetings. Program and Conferences Participate in development of Voice, Creativity and Culture'sstrategyEvaluate prospective grantees through Letters of Inquiry andexploratory meetings; site visits, special convening opportunitiescommunication about proposals and grantmakingprocess/decisionsAssist Directors and Communication Associate in drafting,monitoring and tracking grantee news and announcements to identifycontent that can be shared with internal and externalaudiencesHelp VCC Directors the Grants Management team develop annualplans, track VCC program schedules so that internal deadlines aremet; track the grantmaking budget, reconcile and keep up-to-date,and prepare budget reports.Support program integration through grant monitoring andreporting Carefully review grant reports and requests formodifications, extensions and transfers, correspond with granteesabout deficiencies, and perform preliminary analysis of proposals,including but not limited to financial statements - take necessaryactions and keep all appropriate staff informedEnsure grant files are complete; enter all related information,attach documents and update records as necessary; review andproofread dockets, reports, and other program materials, writesummary papers and reports; prepare (generate) docket materials,and assist program team with the preparation of relevant materialsfor presentations, reports, reviews, and evaluationsGenerate grantee notifications, letters of agreement, paymentletters, modification letters and generate reports, and maintaindatabase.Undertake independent research projects in program area(s),coordinate, convene, and/or attend meetings related to programinterests, participate in professional conferences and meetings onbehalf of the VCC Program Team and the broader Program Team, andmaintain communications with nonprofit partners and keystakeholders. Board Work with VCC team, program team and others to organize anddraft Board meeting materials and presentations; generate and editboard book documentsParticipate in organizing and planning Board Education Days;schedule conference call meetings for Board CommitteesRespond to general inquiries from Board members Qualifications BA degree in relevant field and at least 3 years ofadministrative and/or program support experienceSuperior written communication skills; excellent analytical,critical thinking and problem solving skillsTeam player with effective interpersonal and collaborationskills; proficient at managing competing priorities;Strong administration and project management skills withattention to detail and ability to meet deadlinesDiplomacy in handling sensitive information; willingness tolearn and work across diverse program areasProficient and comfortable in the use of IT applications andability to apply these efficientlyDedicated to issues central to the Foundation's mission andvalues Compensation and Benefits: Salary$70,000.00 -75,000.00 annually, plus generous benefits includingretirement plan, foundation-paid medical, vision and dentalinsurance coverage, TransitChek, long-term disability and lifeinsurance, vacation & holidays, professional development andtuition reimbursement funds.
